The platform
Administration
What a school sets once and changes rarely: which modules it uses, who opens which screen, the lists its records are made of, its campuses and its languages. All of it is on screens of the office application, for the school’s administrators, and every change is logged.
- Switching a module off hides it and deletes nothing
- The grade scale is data, not code
- Every setting has a default, written in plain words
The module switch panel
One panel lists every module with who notices it, what it goes with and who last changed it. The timetable’s own settings show the same switches for its student modules.
- One setting, two doors. Wise Ed’s panel and Wise Timetable’s settings read the same row, so electives, placements, exam dates, exam registration and attendance can never be on in one and off in the other.
- Off hides, it never deletes. A switched-off module disappears from the office, the lecturers’ pages and the student portal, with its work-queue rows and alerts. Switched on again, everything is back as it was.
- Dependencies are asked, not refused. Switching on a module that needs another names it and offers both; switching off one that others need names them and offers to switch them off together.
- The core cannot be switched off: student records, timetable sync, code lists, roles, the school’s settings and the panel itself.
- Accommodations start off. The school switches them on when it is ready to use them.
- The school’s switch narrows Wise’s licence, never widens it: a module Wise has not set up for the school is shown without a switch.
- Every module is on all modules.
Roles
- A role is the menu items it opens, each “view” or “view and change”; a person may hold several, and “change” anywhere wins over “view” elsewhere.
- Made by the school’s administrators — the people on the school’s configAdmin list, who always see everything and alone open the Roles screen.
- Limited to campuses where the school has more than one.
- Sensitive screens are ticked separately: health and support, disciplinary cases, accommodation documents, the list export and the full export.
- More on data and privacy.
Code lists, not hard-coded values
The grade scale, the modes of study, the kinds of enrolment and of programme, how a subject is assessed, the headings of request types, the kinds of company in the CRM: each is the school’s own list, edited on a screen.
- From the country’s list. A school’s list starts as its country’s values, in the country’s order, with words in every office language. A 5-to-10 scale, a 1-to-5 scale or pass/fail is a setting.
- What a value means stays separate from what it is called. A school’s own value — a kind of full-time study with its own name — can mean full-time to the rules, the reporting and the Diploma Supplement, while the price list and the screens see the school’s own word.
- Recorded data is never rewritten. A code is never renamed: a new value is a new code, an old one is switched off and stays readable on every record that carries it.
- Asked before records are touched. Switching off a value, giving it another meaning or removing it names how many records carry it, and asks.
- Outside Slovenia, reviewed before use. A list taken from another country’s profile is marked to review until the school has saved it.
The school, its campuses and its languages
- The country is set by Wise Technologies when Wise Ed is switched on, because it is a legal fact, not a preference. It brings the national ID check, the currency, the grade scale, the payment slip and whether there is national reporting; the school’s screen shows it and says who sets it.
- The document languages are the school’s: the main language of its certificates, decisions and diplomas, the second languages, and the script for Serbian. A language whose texts nobody has reviewed is allowed, with a question naming what will be in English until then.
- Thirteen office languages: Slovenian, English, Croatian, Serbian, Bosnian, German, Italian, French, Spanish, Portuguese, Romanian, Lithuanian and Swedish. Each user picks their own.
- Campuses with their addresses, offices and the programmes each delivers. A school with one campus sees no campus anywhere. See campuses.
Demo schools
A demonstration school exists in each of the thirteen languages, each in its own country, with that country’s grade scale, national numbers, currency and payment code — so a school in Portugal sees grades from 0 to 20 and a school in Sweden its own scale. A demo school never sends e-mail or text messages. For a demo on the school’s own data, see getting started.
Questions about administration
If we switch a module off, do we lose its data?
No. Switching off hides the module and keeps everything. Switched on again, it is back as it was.
Can we change our grade scale?
Yes. The grade scale is an editable code list. A grade already recorded keeps its value; a change that touches recorded values is asked about first.
Can we change the country ourselves?
No. Wise Technologies sets it when Wise Ed is switched on, because it decides the national register, the payment slip and the ID check. The document languages are the school’s own.
Who may switch modules and make roles?
The school’s administrators — the people on its configAdmin list. Every switch and every role change is logged with who and when.
