Accommodations

What the school does for a student at exams and in their studies — more time, a separate room, another form of exam — kept as an adjustment, never as a diagnosis. The adjustment reaches the exam record, the examiner and the attendance rules; the reason and the documents stay with the request. The module is off until the school switches it on.

  • The adjustment, never the diagnosis
  • Every examiner’s list and every opened document logged
  • Off until the school switches it on

What it does

  • The adjustment is recorded, never the diagnosis. “+50 % time”, “separate room”, “exam form: oral” are the words that travel. A short “type of impairment” line exists only if the school switches it on, and only readers with the documents right see it; it never reaches lecturers, examiners, the portal or the log.
  • The kinds of accommodation are the school’s. Eight come built in — extra exam time, a separate exam room, step-free access, the form of the exam, an assistant or interpreter, an adjusted attendance requirement, extended deadlines, priority in choosing electives. Rename them, or add your own.
  • Granted by a decision, or by hand. An approved request of the school’s accommodation type lets the office add the accommodation linked to it, with its decision number. One added without a request needs a reason, which goes to the log.
  • The exam record knows. For each exam date: how many students need how much more time, a separate room or step-free access, the rooms the timetable has free for the longest stretched time, and “Book a room”, which opens the timetable’s booking form for that day and time.
  • The examiner sees what to do, not why. The examiner’s list, on screen and printed, has one “Adjustments” column; the e-mail of the day before carries only a mark beside the name. The lecturer’s grade list shows the same words as a chip, and the attendance report marks the student “adjusted”.
  • “My adjustments” on the student portal: what is in force, starting or recently ended, with the decision as a PDF and “Ask for renewal”, which opens a request already filled in.
  • A renewal notice before it ends: 30 days before the last day by default, a row in the office’s work queue and a notice to the student.

How an accommodation goes

  1. The student asks

With a request of the school’s accommodation type, the supporting documents attached — see requests and decisions.

  2. The office decides

A numbered decision. Approved requests that have no accommodation yet wait on a list of their own and in the work queue.

  3. The accommodation is added

Its kind, its value (a per cent, a few words or a number of days), from when and until when, linked to the request, so the documents stay with it.

  4. It acts on the exam date

On the exam record, the examiner’s list and the grade list. An adjusted attendance requirement is the share the attendance rules judge the student by.

  5. It ends, or is renewed

At its last day, or ended by hand with a reason; it stays in the history. The student asks for a renewal from the portal.

Who sees what

  • The office keeps the accommodations. The supporting documents open only with a right of their own, “Supporting documents”, and every opening and every refused attempt is logged. While the school has no roles, only whoever administers Wise Ed at the school opens them.
  • Lecturers and examiners see only the adjustments for their own exam or subject, in the kind’s words. Every list that shows them is logged: one line per list and day, the students only, never the words.
  • The student sees their own, never the office’s note or the reason.
  • Parents, payers and sponsors never see them: third-party access does not offer adjustments.
  • Kept for as long as the school says. An ended accommodation, and the log of who opened its documents, are erased after three years by default; the school sets whole years, and 0 keeps everything until erased by hand.
  • A template for the data protection impact assessment comes with the module, in English, Slovenian and Croatian — a start for the school’s own assessment, to be read by its lawyer or data protection officer.
  • Verify, do not refuse. An accommodation that overlaps another of the same kind, or starts in the past, is asked about; the office decides.

Not yet

Three kinds are recorded and shown today; what they do is still to come.

  • Step-free access is counted on the exam record, but the timetable’s planner does not yet warn about rooms with steps.
  • Extended deadlines do not yet move coursework deadlines by themselves.
  • Priority in choosing electives is not yet read when electives are allocated by rank.

Questions about accommodations

Does an examiner learn why a student has more time?

No. The examiner reads only what to do — “+25 % time”, “separate room”. The reason, the documents and any note stay with the office.

Where are the medical certificates kept?

With the request they came with. They open from the accommodation only for readers with the “Supporting documents” right, and every opening is logged with who and when, never with the document’s content.

Can we keep accommodations without the requests module?

Yes. Each is then added by hand, with a reason that goes to the log.

Is the module on at every school?

No. It is off until whoever administers Wise Ed at the school switches it on under Modules. While it is off, nothing of it shows anywhere, and nothing is deleted.
