Student file

The part of a student’s record beyond the studies: special statuses and the rights they give, support and health entries, disciplinary cases, and alerts when attendance falls below the school’s rules. Health and discipline are special categories of personal data, so each section opens only for the reader whose role opens it, and every look is logged.

  • Each section behind its own right
  • Every look at health and discipline logged
  • Statuses whose rights the exam rules read

What it does

  • Special statuses and their rights. Athlete, artist, student parent, student with special needs — the school’s list, each with the dates it holds and the rights it gives: extra exam attempts, more days to register for an exam, exemption from the attendance requirement. The exam and attendance rules read them. Two statuses do not add up: the most any one of them gives counts.
  • Support and health entries — an allergy, a chronic condition, special needs, a first-aid note: only what the office needs to know, behind a right of its own. A status that tells about health is never shown as a badge.
  • Disciplinary cases with their date, kind, measure, decision and appeal, and where each stands: open, decided, under appeal, closed. The kinds and the measures are the school’s lists.
  • Sealing. After the school’s period — five years from the case date by default — a case is sealed, kept without its description, measure or decision, or erased, as the school chooses. A sealed case does not change any more.
  • Attendance alerts from the school’s attendance rules: a general rule and rules per subject, each with the required share, a warning line and the number of lessons to wait for before anyone is judged. Every night the timetable’s attendance is judged against them.
  • The export of the file — statuses, support entries and cases as a file for the office’s own records — is a right of its own. Every export is logged with the name and the number of rows.
  • Settings for the statuses and their rights, the kinds of support entry, case and measure, the attendance rules and who is told.

Who opens what

Each section is a screen of its own, so the school’s roles tick it apart from the rest.

Rules that protect the student

  • Every look is logged. Every view, every change and every refused attempt at health or discipline is written to the log with the reader’s name — never the text itself.
  • Nothing else reads it. The student record, the timeline, the badges, the other exports and the public API never read the support entries or the cases. An exam’s assessor sees only the words of an exam accommodation (“extra time 25 %”), never the entry; the exam rules hear only that a measure is in force, and what a status gives.
  • A measure stays in its place. A suspension or an expulsion in force stops an exam registration for checking, and the office may register the student anyway, with a reason. A warning, a reprimand, even a suspension never changes a discount or a scholarship.
  • Who hears of an alert is the school’s choice, each on its own: the student gets a message, the subject’s lecturers a note, the office one row in the work queue. Excused absences do not count, and a student whose status exempts them is never judged.
  • Attendance as a condition for exam registration is off unless the school switches it on — and then it asks, it does not refuse.
  • The student sees their own file on the student portal: their special statuses with the rights each gives, and the decided disciplinary cases that concern them, with the measure, until when and how they can appeal. Open and sealed cases never show there, and every view of a case is logged. What the school arranges at exams is on the student’s accommodations page.

Questions about the student file

Who can see a student’s health entries?

Only readers whose role carries the health right — while the school has no roles, only whoever administers Wise Ed there. Every look is logged with their name.

What happens to a disciplinary case after some years?

When the school’s period ends — five years from the case date unless the school says otherwise — the nightly job seals the case, keeping it without its description, measure or decision, or erases it, whichever the school chose. A sealed case no longer shows to the student and cannot be changed.

Does a reprimand affect a scholarship?

No. Discounts and scholarships look only at the items, the special status, the programme, the student and the dates. A measure in force reaches only exam registration, which it stops for checking.

Where do the attendance figures come from?

From Wise Timetable’s attendance, counted the way its own reports count them, so an alert and a report cannot disagree.

Works with

Each module works on its own. These are the ones it does more with.

Accommodations

The adjustment, never the diagnosis: extra time, a separate room, reaching the examiner.

Messages

Direct and department messages, announcements, alerts and text messages.

Data and privacy

Roles, logs, consents, what never leaves Wise Ed, and the full export.
