Study and exams

Exams and grades

One page per exam record: its date, rooms and assessors from the timetable, its students with the attempt each is on, the grade grid, the statistics and the history. Lecturers enter the grades online; the record is signed off once, and a grade is never overwritten.

  • Grades entered by lecturers, on their own web page
  • Every rule names itself and the date it lifts
  • A correction is a new entry with its reason

What it does

  • Exam records with their assessors. The date, the rooms and the examiners come from the timetable’s exam module; the students are those who registered there, each with the attempt they are on.
  • Lecturers enter grades online, on their own page of the web timetable: Tab from row to row, one Save, as many sittings as they like. Then they sign the record off, or hand it to the office — whichever the school decides.
  • Attempts are counted, not typed, and a paid attempt asks the finance module for its charge.
  • Coursework and colloquia. Obligations per subject, with a result for every student; a colloquium is a record of its own kind.
  • The grade scale is the school’s own — an editable code list, so a 5-to-10 scale, a 1-to-5 scale or pass/fail is a setting, not a programme change.
  • The transcript as progress, not a list of grades: every curriculum subject passed, registered or open, a subject whose attempts are used up marked as such, the ECTS so far and both averages — the plain one and the one weighted by credits.

How an exam goes

  1. The date is planned in the timetable

Wise Timetable’s exam module plans the periods and dates and books the rooms. Wise Ed opens the record for the date, with the subject, the assessors and the campus it is held at.

  2. Students register, and the rules are asked

Registration happens in the timetable, and it asks Wise Ed’s rules: a student the school’s rules would stop is told why, and until when.

  3. Accommodations reach the record

Students with extra time, a separate room or step-free access are listed on the record for that date, with the free rooms for the longer time and a button to book one.

  4. The lecturer enters the grades

From the points of the subject’s assessment scheme, or typed straight in. The school’s rules ask before an unusual grade is saved.

  5. The record is signed off

By the lecturer or by the office. A signed-off record is reopened only with a reason, and every grade on it is final until a correction is entered.

Rules that say why

When registration closes, how long to wait after a failed attempt, from which attempt an exam is paid or taken before a committee: each is a setting with a default, and every reason names its rule and the date it lifts.

  • The office can set a rule aside, with a reason that is kept.
  • A grade is never overwritten. A correction is a new entry with its reason and its author, so “who changed this grade, when and why” always has an answer.
  • Campus-aware. A clerk limited to one campus who opens a record held at another is asked, and continues with a logged reason.
  • Lecturers see only their own records — those where they are an assessor. Students see their own grades in the portal, never anyone else’s.
  • Grades can also arrive from outside: from Moodle through LTI, or from the school’s own system through the public API — always appended, never overwriting, with a dry run first.

Questions about exams and grades

Can lecturers enter grades themselves?

Yes, on their own page of the web timetable: the records where they are an assessor, the grade grid, coursework, and a PDF of the record to sign. The school decides whether a lecturer signs the record off or hands it to the office, and how long after the exam grades may still be entered.

What happens when a grade was entered wrongly?

A correction is entered as a new grade with its reason. The old one stays in the record’s history, with who entered it and when, so nothing disappears.

Where are exam dates planned?

In Wise Timetable’s exam module, which also books the rooms and takes the registrations. Wise Ed keeps the records and the grades, and its rules decide who may register.

Can we bring in grades from our old system?

Yes. Historical grades come in through the import wizard, with a dry run before anything is written and an undo afterwards. See data in and out.

Works with

Each module works on its own. These are the ones it does more with.

Assessment

The subject holder’s own scheme: components, points, weights and grade bands.

Degree audit

Each student against what the degree asks for, with a what-if and a checkable report.

Accommodations

The adjustment, never the diagnosis: extra time, a separate room, reaching the examiner.
