Lecturers’ work

A lecturer’s month is the timetable plus a confirmation. Wise Ed takes over the lessons the live timetable says they taught; the lecturer checks them on their own web page and hands the month in; the office approves it, and the agreed amount goes to payroll.

  • The month from the real timetable
  • Changes shown, never overwritten
  • The amount frozen at approval

What it does

  • From the real timetable, read the way the public timetable and the apps read it, so the report and what students saw cannot disagree about a single lesson.
  • Hidden lessons still count. A lesson the school hides from its web pages was still taught, and is still paid. Lessons on non-teaching days are left out unless the planner forced them into that week, and so are room bookings, unless the school counts them.
  • Hours the school’s way: the timetable’s own hours, or minutes over a 45- or 60-minute hour, each lesson rounded as the school says. A lecture given to two groups at once is counted once.
  • Changes are shown, not overwritten. Taken over again, the month says what the timetable added, removed, moved or changed since; what the lecturer confirmed stays.
  • Work the timetable does not know — travel, consultations, exams, mentoring — is added by hand, in hours, kilometres or pieces.
  • Rates per category and kind of work, for example for employed and contract lecturers, with one rate for everybody where a category has none of its own. The amount is frozen at approval, so a rate changed next month cannot rewrite an agreed one.
  • What the lecturer sees is the school’s rule: the hours only, which is the default, or the rates and amounts as well.

How a month goes

  1. The month is taken over

By the office for every lecturer who taught, or by the lecturer on their own page. The timetable’s lessons become lines day by day, each with its kind of work.

  2. The lecturer checks it

On their own page of the web timetable: a tick for a lesson that was not held, a note where something is wrong, their own lines for the work the timetable does not know. Then they hand it in.

  3. The office approves

Questions come first where something looks unusual: a day longer than the school’s maximum, two lines at the same time, work without a rate. On approval the amount is agreed and frozen.

  4. Signed, paid and exported

Each month prints as a PDF to sign: the lines day by day, the calculation and two signature lines. The payroll file, Excel or CSV, takes the approved and paid months, one row per lecturer and kind of work, with quantity, rate and amount.

Rules and rights

  • Lecturers see only their own months. Anybody else’s report is simply not there for them.
  • After hand-in the month is the office’s until the office returns it, and the reason it was returned is the first thing the lecturer reads.
  • An approved or paid month is changed only by reopening it, with a reason that is kept on the report and in its history.
  • Verify, do not refuse. A month that has not ended, a line of more than 12 hours, a journey of more than 500 km, approving work that has no rate: each is asked about, and the office decides.
  • The pay rules are a screen of their own, for whoever sets them once a year: the hour rule, the kinds of work, the lecturer categories, the rates, and which teaching type of the timetable becomes which kind of work.
  • The work queue reminds the office of handed-in months waiting too long, and of last month’s lecturers who taught and have no report yet.

Questions about lecturers’ work

Why are lessons hidden from the web paid?

Because they were taught. Hiding a lesson from the web pages keeps the students’ timetable tidy; it does not mean the lesson did not happen.

What if the timetable changes after the lecturer has checked the month?

Taking it over again compares instead of overwriting: the lessons the lecturer confirmed or corrected stay, and the month lists what the timetable added, removed, moved or changed since. Once handed in, the month changes only when the office reopens it.

Do lecturers see the amounts?

Only if the school says so. By default they see the hours per kind of work; the school can let them see the rates and amounts as well.

Can the export go straight into our payroll program?

Today it is an Excel or CSV file, one row per lecturer and kind of work, taken from the frozen calculation of each approved month. A payroll program’s own import format is not built.
