Third-party access

Some people outside the school have a reason to see part of a student’s study: a parent, a company that pays the tuition, a sponsor. Wise Ed gives each of them their own sign-in and shows them exactly what the law and the student allow — nothing by default, and nothing a student cannot see being looked at.

  • An adult student decides, person by person
  • Every look recorded, and shown to the student
  • Switched off until the school switches it on

What it does

  • Three kinds of third party: a guardian (a minor’s parent), a payer and a sponsor. The office invites them, and an adult student can invite them too.
  • Part by part. Timetable, exams, grades and progress, attendance, announcements, invoices — each switched on or off for each person.
  • The parent portal: the week’s timetable, exams, grades, attendance, invoices with their payment QR code and PDF, and the school’s notices. A guardian with several children chooses the child; one child opens at once.
  • Absence excuses. A guardian reports or excuses an absence on a form; the class teacher or the office accepts or declines it with a reason, and an accepted excuse marks those absences excused.
  • Parent-teacher meetings. Teachers publish their office hours, guardians book a time, and reminders follow; the office sees every booking and can cancel one with a reason.
  • Class teachers per timetable group receive the excuses and the guardians’ messages of their class.

How access is given

  1. The school switches the portal on

It is off by default. The school sets its age of majority, what a new link shows, the excuse rules and the class teachers.

  2. The person is invited

By e-mail, with a one-time code. Afterwards they sign in with a six-digit code sent to their address, or with a Microsoft account whose address Microsoft confirms.

  3. The rules decide what the link shows

For a minor, what the school has ticked. For an adult, only what the student grants — and the student can withdraw it at any time, effective at once.

  4. At the age of majority, the student is asked

Keep the link as before, share nothing, or remove the person. Until the student answers, the link shows nothing.

Who sees what

  • Never shared with a third party: accommodations, requests and their documents, and the student’s messages. Conversations with the class teacher and the office are only for a minor’s guardian, where the school allows them.
  • A minor’s guardian sees what the school ticks, and nothing until it ticks something — except booking a parent-teacher meeting, which shows no data and is on by default.
  • A payer sees, without the student’s consent, the invoices addressed to it that carry this student, with the payment code, the status and the reminders — they are its own documents. Everything else needs the student’s grant. A discount or scholarship line on such an invoice reads only “Reduction”, so it cannot reveal a student’s status.
  • Every look is recorded, per person, part and day. The student reads who looked at what over the last twelve months on “Who sees my data” in the student portal, and the third party is told that their views are recorded.
  • Verify, do not refuse. Linking a guardian to an adult who has not consented is asked about; the office may continue with a written reason, for instance a guardian appointed by a court.
  • A family never sees another child. Each child is reached only through the guardian’s own link, checked on the server.

Not yet

  • Parents in the mobile app. A parent mode is coming in the next release of the Wise Timetable app; until then guardians, payers and sponsors use the parent portal in the browser, which is made for a phone.

Questions about third-party access

Can parents see an adult student’s grades?

Only if the student grants it, part by part, and only for as long as they keep it. A student who comes of age is asked whether to keep each link; until they answer, the link shows nothing.

Can a company that pays the tuition see its invoices?

Yes. A payer linked to the finance module’s payer sees the invoices addressed to it, with the payment QR code and the reminders. Grades, attendance and the rest stay closed unless the student grants them. See finance.

Does the student know when somebody looked?

Yes. The student sees who looked at what, by day, for the last twelve months.

Is there a data protection impact assessment?

There is a template. The DPIA template for third-party access sets out what the module processes and how; the school completes it with its own decisions. See also data and privacy.
