Set up with your school

Wise Ed is complete as a product. What is particular to a school — its contracts, its providers, its country — is connected when the school introduces it. For each item: what we connect, and what your school provides.

  • Part of introducing Wise Ed
  • What we connect, what you provide
  • Your providers, your contracts

The onboarding guide

Every item on this page in detail — what we connect, what your school provides, how to prepare it step by step, real examples from different countries, and a one-page checklist for the first conversation: the onboarding guide (PDF, 20 pages). Also in Slovenščina and Hrvatski.

Payments and invoices

  • Card payment online, through your payment provider. Wise Ed issues every invoice with a payment QR code and records every payment; card payment online is arranged with the payment provider your school has a contract with. You provide: the provider’s contract and its technical details.
  • A fiscally verified cash register. Where a cash receipt must be fiscally verified, your school’s register does it; Wise Ed records the payment and says on screen when a receipt needs the register. You provide: the register.
  • E-invoices through your provider. Wise Ed makes each e-invoice in your country’s format and signs it with your school’s qualified certificate; the office downloads the XML, and your bank or e-invoice provider delivers it. You provide: the certificate as a .p12 or .pfx file, and your provider.
  • Bank statements from your bank in camt.053, matched to invoices by the reference. You provide: one statement from e-banking for the first trial import.
  • Files for your accountant in the form your accounting program (ERP) reads, with its accounts and cost centres. You provide: the accounts, and a sample of what the program imports. See finance.

Your country’s requirements

Wise Ed adapts to the national requirements of every country where it is integrated, as part of setting up your school.

  • National reporting to your country’s register. You provide: the register’s specification and access. See national reporting.
  • Payment slips: Wise Ed adapts to the payment slip of every country where it is integrated — for example HUB-3 with its PDF417 barcode in Croatia, the IPS QR in Serbia and the EPC QR across the euro area. You provide: the school’s account details.
  • E-invoice formats: Wise Ed adapts to the e-invoice format of every country where it is integrated, signed with your school’s certificate. You provide: a sample of the e-invoice your buyers accept.
  • The export of your national application system comes in through the admission import, its columns matched once and remembered. You provide: a sample export. See admission and enrolment.

Payroll, sign-in and learning

  • Your payroll program. The lecturers’ work goes out in your own export profile — the columns, codes, separator, encoding and date format your payroll program imports — set up once and downloaded every month. You provide: a sample file your payroll program accepts. See lecturers’ work.
  • Sign-in with your Microsoft accounts. Students and staff use the school’s Microsoft 365 accounts; your administrator approves the app once. You provide: that approval.
  • Your LMS. Moodle sync and LTI 1.3 for Moodle, Canvas, Brightspace and Blackboard, with grades appended, never overwritten. You provide: an LMS administrator for the connection. See LMS integration.
  • Text messages through your SMS provider — a generic HTTP gateway, Twilio or Infobip — as a fourth channel beside the inbox and e-mail. You provide: the provider’s account. See messages.

Languages and integrations

  • Your office language, read by a native speaker before you start. The office speaks thirteen languages; for a school working in German, Italian, French, Spanish, Portuguese, Romanian, Lithuanian or Swedish, we go through the words with a native speaker before it starts. You provide: a reader at the school who knows the work.
  • Zapier, as a private integration. Your school receives the invitation on request; events such as a new application or an issued invoice then go to your own Zaps. See integrations.
  • The public API and webhooks for your ERP, a bank connector or your own scripts, with one key per system that the school makes itself.

Something your school uses is not here?

Tell us which systems your school works with today, before you plan the move. We will say how Wise Ed connects to each, and what it takes. Ask about Wise Ed, or see the questions schools ask.
