Everything on this page happens on a schedule, on the server, with nobody clicking anything. It is the least visible part of Wise Timetable and, after the first term, usually the part administrators would least like to give up.

Why automation matters more than it sounds

Any communication that depends on somebody remembering to do it will eventually not happen. The weekly schedule email goes out for three weeks and then stops. The signage shows last term's timetable because the person who updated it left. The exported calendar file is from September.

Wise Timetable runs these as periodic server-side tasks instead. They execute whether or not anyone is in the office, and they read the live timetable, so what they send is correct by construction rather than by diligence.

What runs on a schedule

Scheduled timetable emails

Personalised schedules emailed to every lecturer on a recurring cycle — the coming week each Friday, the term ahead each September, or whatever pattern suits your institution. Each recipient gets their own timetable, not a faculty-wide attachment.

Push notifications to students

Changes pushed to the iOS and Android apps as they are published, plus optional reminders ahead of sessions. The student does not have to check anything.

Live ICS calendar feeds

The server publishes standards-compliant ICS feeds, so staff and students subscribe once from Outlook, Google Calendar or Apple Calendar and their calendar stays correct forever. This is a subscription, not a one-off export — a room change on Tuesday appears in their calendar on Tuesday.

Signage and kiosk refresh

Campus displays and kiosk screens are regenerated from live data on a cycle, adapted to each screen's format and orientation. A display cannot drift out of date because there is no manual step that could be skipped.

Availability reminders

Automated chasing of the lecturers who have not yet submitted their available hours — which is the single most useful automated task in the entire system, and recovers roughly a week per timetabling cycle.

Data synchronisation

Scheduled import from and export to your student information system, HR system and institutional databases, so the timetable reflects enrolment and staffing changes without a human export step.

Calendar subscription, specifically

This is the feature most institutions underuse. A published PDF is screenshotted in September and consulted in March, three room changes later. A calendar subscription cannot go stale: the feed is served live from the server, the calendar application re-reads it, and the correct information appears in the place people already look.

Feeds are personalised — a student subscribes to their own timetable, a lecturer to theirs — and work with any standards-compliant calendar client on any platform.
