Wise Ed Tools

Not everything a school runs is about students. Wise Ed Tools holds the rest of the office’s work — the fixed assets and their depreciation, the staff’s time, leave and travel orders — in the same look, the same sign-in and the same school as Wise Ed and Wise Timetable. Lists start from the timetable with one button and are then the school’s own.

  • Fixed assets, staff records, travel orders
  • One sign-in across the timetable, Wise Ed and Ed Tools
  • Employees sign in to their own page
  • Copy rooms and lecturers from the timetable

The modules

Three modules today, each a section of the left menu in Ed Tools.

Fixed assets

The register, scanning and stock-taking room by room, depreciation by group.

Staff records

Time, leave and absence; employees on their own page, superiors approve, the month for payroll.

Travel orders

From request to payment: per diems by the country’s rules, several countries, receipts with scans.

How it fits with the rest

  • Its own application, the same school. Ed Tools has its own address beside Wise Ed and the timetable’s administration, with the same themes, language switch and left menu. It works with or without the rest of Wise Ed.
  • One sign-in. Whoever is signed in to Wise Ed finds a Wise Ed Tools section at the foot of its menu; each entry opens Ed Tools in a new tab, already signed in. Ed Tools has a door back to Wise Ed, and the timetable’s administration has doors to both. The person is signed in again as themselves, and each application checks its own rights.
  • Who gets in. The office: the people the school has ticked as administrators with the editing right — the same people who work in the timetable’s administration and in Wise Ed. Employees use their own page with a login the office gives them, and see only their own time, leave and trips.
  • Own lists, started from the timetable. Rooms, lecturers and staff are copied from the timetable with one button and then kept separately: a store room or a caretaker belongs on the asset register even though nobody is ever timetabled there. A second copy only adds what is new.
  • Verify, do not refuse. A purchase date in the future, a working day over twelve hours, kilometres far above the plan, the same receipt twice: the screen asks, and the office decides.

How a school starts

  1. Wise switches the modules on

The tables are added to the school’s database; nothing in the timetable or in Wise Ed changes.

  2. The lists come from the timetable

Rooms and lecturers for the asset register, employees for the staff records — one button each.

  3. The country’s rules with one button

Depreciation groups with their legal rates, public holidays and the travel-order rules of the school’s country are loaded, and stay editable.

  4. Employees get their logins

On each employee’s card the office sets a login; the employee signs in on their own page.

Not yet

  • Lecture recordings, meeting links and payroll preparation are not in Ed Tools yet.
  • No posting to the accounting system. Depreciation is read on the year’s sheet per group; the month’s hours go out as a CSV file for payroll.
  • No app of its own. The employee’s page works in the phone’s browser.

Questions about Wise Ed Tools

Do we need Wise Ed to use Ed Tools?

No. Ed Tools needs Wise Timetable for the school and its lists; the rest of Wise Ed is not required. With Wise Ed, the two open each other signed in.

Do our employees need a timetable account?

No. An employee’s login is on their card in Ed Tools and opens only their own page. The office signs in as it does to the timetable’s administration.

Are the rules only for one country?

The depreciation rates, public holidays and travel-order rules of several countries in the region are built in today and loaded with one button; every amount can be changed by the school, and another country is added when the first school there needs it.
