Money and staff

Fixed assets

Every chair, projector and laptop the school owns, on one register: where it stands, who has it, what it cost and what it is worth today. Scan the label to open its card, or walk the rooms at stock-taking and tick everything you see. Depreciation is worked out by itself, month by month, by the group each asset belongs to.

  • Scan with a barcode reader or the phone’s camera
  • Stock-taking room by room
  • Depreciation computed, never typed
  • Rooms and holders copied from the timetable

What it does

  • One card per asset with its inventory number, name, serial number, category, room, holder, supplier and invoice, purchase date and value, the date it was put into use and its depreciation group. Every change is kept in the card’s history.
  • The register finds any card by any word, and filters by status, category and room. Each row shows the purchase value, the value today and when the asset was last seen.
  • Scan. A USB barcode reader types into the scan field; on a phone or tablet whose browser reads barcodes, the camera does it. Scanning opens the card — or, at stock-taking, ticks it as seen in the room you are standing in and notes where it was before if it has moved.
  • A number nobody has yet offers to make the card for it at once, with the number filled in.
  • Depreciation by group. Straight line at the group’s yearly rate, a twelfth each month from the month after the asset was put into use; small inventory written off at once. The year’s sheet adds it up per group.
  • Writing off is not deleting. An asset that left the school stays on the register as written off, with its date, for the year-end questions. Deleting is for a card made by mistake.

Stock-taking, room by room

  1. Choose the stock-take mode

On the scan screen, choose that scanning ticks assets as seen, and say which room you are in.

  2. Scan everything in the room

Each scan ticks the asset as seen now and lists it below; an asset from another room says so.

  3. Move to the next room

Change the room and carry on; the list of this round stays on the screen until you clear it.

  4. Read what was not seen

In the register, “Last seen” shows what nobody found this year — the list for the commission.

The register’s own lists

  • Rooms, categories, holders and depreciation groups are the module’s own lists. Rooms and holders start as a copy of the timetable’s rooms and lecturers — one button each — and are then kept separately, so a store room, a corridor or a caretaker can be added without touching the timetable.
  • A second copy only adds what the timetable has since gained; nothing the school has edited is overwritten.
  • The legal depreciation groups of the school’s country are loaded with one button, each with its highest allowed yearly rate. The school may change a rate; a rate above the group’s is asked about, not refused.
  • A code a card names that the list lacks is asked about on saving, and added to the list.

Not yet

  • Labels are not printed from here. Inventory labels are printed with the school’s own label printer; Ed Tools reads them.
  • No posting to the accounting system. The year’s depreciation is read per group on the sheet.

Questions about fixed assets

Do we need a special scanner?

No. Any USB barcode reader that types like a keyboard works. On a phone, the camera works where the browser can read barcodes; elsewhere, type the number.

Our rooms are already in the timetable. Why a second list?

Because assets live in rooms the timetable never uses — store rooms, offices, corridors. The list starts as a copy with one button and is then the register’s own.

Can we take our existing inventory list over?

Yes. Wise brings the existing register in when the module is switched on; from then on the cards are kept here.

Who may change the register?

The office: whoever the school has ticked as an administrator with the editing right, as in the timetable’s administration and in Wise Ed.
